1. Who we are
EasyClose is owned and operated by ThatMart Limited, registered in England and Wales under company number 16251015. Our registered address is 115 London Road, Morden, England, SM4 5HP.

2. Information we collect
We collect the information needed to create an EasyClose account, operate a business workspace and provide daily close features. This may include:
- Email address & Owner name.
- Passwords are processed through secure authentication services. EasyClose does not store user passwords in plaintext. Authentication credentials are handled using industry-standard security practices.
- Business name, including registered or trading name.
- Location name, such as shop, branch or service point.
- Reporting currency.
- User role, invite status and assigned location access for owners, managers and staff.
- Business registration number and VAT number if introduced in a future release and provided by the user.
- Customer support communications.
- User-generated operational records, including daily close records, sales channels records, locations and related business records.
- Firebase Cloud Messaging (FCM) device tokens used solely to deliver service-related push notifications.
EasyClose does not currently collect behavioural analytics, usage analytics or crash reporting data. EasyClose does not collect contacts, camera data, microphone data or location data. Notification permission may be requested so that EasyClose can send service notifications.
3. Operational records
EasyClose allows businesses to manually record operational closing information such as channel totals, expenses methods (mileage, other, etc.), locations and, in future releases, basic expense or wage-related records. Users remain responsible for ensuring that submitted records are accurate, lawful and complete.
4. Third-party services
EasyClose uses trusted third-party service providers to operate the platform. These may include secure cloud authentication, database and backend infrastructure providers; Firebase Cloud Messaging for push notifications; transactional email providers such as Zoho ZeptoMail and SendGrid for verification and service emails.
We share only the information necessary for these providers to perform their services. Service providers are expected to protect personal data using appropriate technical, organisational and contractual safeguards.
5. How we use information
- To create and manage user accounts.
- To authenticate users and protect accounts.
- To provide the EasyClose application and website.
- To manage business workspaces, locations, roles and team invitations.
- To store business and operational records submitted by users.
- To deliver push notifications and service emails.
- To respond to support, privacy and legal enquiries.
- Limited technical and security logs, such as authentication events, request metadata and timestamps, may be retained for security monitoring, fraud prevention and troubleshooting.
- To comply with legal obligations.
6. Legal basis for processing
Where UK GDPR or EU GDPR applies, we process personal data based on contractual necessity, legitimate interests, legal obligations, consent where required, and fraud prevention or security purposes.
7. International transfers
Data may be stored or processed on secure cloud infrastructure operated by our service providers. Where data is transferred outside the United Kingdom or European Economic Area, we use legally recognised safeguards where required.
8. Data retention
We retain information in line with our Data Retention Policy. Business records may be retained for operational continuity, audit integrity, security, fraud prevention, legal compliance and dispute resolution. Personal user account data is deleted or anonymised following a valid deletion request unless retention is required for lawful reasons.
9. Children's Privacy
EasyClose is intended for business users and is not directed to children under the age of 13 (or the minimum age required by applicable law). We do not knowingly collect personal information from children. If we become aware that personal information has been collected from a child in violation of applicable law, we will take reasonable steps to delete it immediately
.10. Your rights
Under applicable data protection laws, you may have the right to access the personal information we hold about you, correct inaccurate or incomplete information, request deletion where applicable, request a copy of your data in a portable format where technically feasible, object to or restrict certain processing, and withdraw consent where processing is based on consent.

11. Security
EasyClose uses appropriate technical and organisational safeguards to protect personal and operational information, including secure authentication, role-based access controls, encryption in transit, secure cloud infrastructure and audit logging. 12. Changes to this policy
We may update this Privacy Policy as EasyClose evolves. Material changes will be reflected on this page.
